SCOPE SUMMARY:
Southern California Edison (SCE) is looking at the best way to manage travel for the US and International regions. SCE is seeking an innovative TMC partner to elevate our travel program. This includes increased quality and convenience of service through online and mobile technologies, enhanced safety and security for our travelers, better data management and reporting, and significantly reduced total travel costs. The program improvements and cost savings SCE is looking for include, but are not limited to:
- Lower per average transaction fees through online and mobile bookings
- Increased availability of content and low-price options to travelers and agency counselors
- Comprehensive online booking portal
- Ability to monitor compliance with travel policies and program goals
- Concierge travel management, available after hours, for emergency initiatives
- Robust reporting and analytics to enhance data transparency
Scope of Work
The Travel Management Company (TMC) will provide comprehensive travel management services, including but not limited to:
- Travel Booking: Airfare, hotel accommodations, car rentals, and rail tickets.
- Travel Policy Compliance: Ensuring all bookings adhere to SCE’s travel policies.
- Expense Management: Integration with existing expense management systems.
- Traveler Support: 24/7 customer support for travelers.
- Reporting and Analytics: Detailed reports on travel spend, compliance, and savings.
Deliverables
The TMC will deliver the following:
- Booking Tool:
- A user-friendly online booking tool integrated with SCE’s systems.
- Customizable travel policies and approval workflows.
- Real-time inventory and pricing for air, hotel, car rental, and rail bookings.
- Mobile app for on-the-go booking and itinerary management.
- Travel Management Services:
- Dedicated account manager.
- 24/7 customer support.
- Assistance with travel disruptions (e.g., flight cancellations, delays).
- Traveler tracking and duty of care services.
- Reporting and Analytics:
- Monthly and quarterly reports on travel spend and compliance.
- Customizable dashboards for real-time insights.
- Data integration with SCE’s expense management system.
- Transaction Fee Response Module:
- Detailed breakdown of transaction fees for various booking services.
- Transparent fee structure for all travel-related transactions.
- Options for reducing transaction fees through volume discounts or other incentives.
Key Requirements
The following requirements are essential to the success of the SCE Corporate Travel Program:
- Fully integrated online booking tool that is user-friendly, has mobile capabilities, and can seamlessly communicate with the expense platform.
- Dedicated customer service agent for SCE account management.
- Industry-best customer service for all travelers, any time of day.
- Consistent communication and partnership to allow for continuous improvement and category advancement.
Please provide a response by 11/12/24, even if current members cannot support any of the Scopes of Work listed.
Please note, SCE RFPs are issued through our Ariba system. Attached and below are instructions for registering in SCE’s Ariba system that can be shared with your suppliers that are not currently registered. If you have any questions, please contact me.
ARIBA REGISTER INSTRUCTIONS
Becoming a supplier for SCE is a two-step process. You must (1.) register with Ariba Commerce Cloud and (2.) complete the SCE specific Supplier Profile Questionnaire (SPQ). Please follow these steps:
STEP 1 – Join the Ariba Commerce Cloud by clicking on the following link:
http://sce.supplier.ariba.com/register
STEP 2 – Once Ariba Commerce Cloud registration is complete, log in and you will be prompted to complete the SCE specific Supplier Profile Questionnaire (SPQ).
Focus on the 5 mandatory questions for registration purposes only.
- Section 2.1 – Are you a Diverse Business Enterprise?
- Section 3.5 – Are you registered as a California resident owned business?
- Section 3.8 – Are you a U.S. owned supplier?
- Section 3.14.2 – Do you accept the Terms of Use Agreement?
- Section 3.19.1 – You certify that you are an authorized representative of the company
In addition, some important but commonly missed sections of your profile should be completed (these items are on other tabs of your company profile):
- Short Description – add any category keywords for your products or services to help Supplier Diversity locate your profile for future RFP opportunities
- State of Incorporation – you must change from default (Alabama) to your state of incorporation
- Phone number – verify that phone number is input in the main organization and for each user on your account
- Organization Name – ensure it matches legal name, Tax Id
- Upload your supplier Capabilities Statement
- This one-time requirement will ensure we have complete information on suppliers’ capabilities and access to required documents. SCE will use this information in many areas of doing business with your company and may request for you to update your information periodically.
Note: If you are not the authorized company representative responsible for ensuring your company’s information is complete and accurate, please have that person complete the registration and information request. The individual that creates the Ariba Commerce Cloud Account becomes your company’s Ariba Account Administrator (by default). Once registered on Ariba, your Account Administrator can add you and others within your company as users to your organization.
Suppliers with An Existing Ariba Commerce Cloud Account
If you already have an Ariba account, use the link below; you will be prompted to complete the SCE Supplier Profile Questionnaire (SPQ) upon login:
Log in and complete the SCE specific Supplier Profile Questionnaire (SPQ). Focus on the mandatory (5 asterisked*) questions as indicated in STEP 2 above; you can answer the remaining questions and upload the requested documents as information is available.
